Position Description: Office Coordinator, Science Center
Function of Position:
Responsible to the VPAA/Dean of Faculty and the Science Center faculty members, reports to the Science Center Building Manager on a daily basis. Provides general office support such as maintaining compliance paperwork, maintaining supplies, tracking and inputting data, preparing documents, letters and memos, as well as managing room scheduling within the Science Center. Responsible for the supervision of one student employee. This is a 10-month position with benefits.
Principle Duties and Responsibilities:
Administrative Operations and Office Management
- Serve as the primary front-desk contact for the Science Center: welcome and assist students, faculty, staff, and visitors; answer and direct phone calls; and sort and distribute departmental mail and packages.
- Manage and order all office and laboratory supplies; collect and file chemical safety data sheets.
- Serve as liaison to cleaning, maintenance, and IT staff.
- Perform other duties as assigned.
Faculty Support
- Support faculty administrative needs, including managing records for Academic Affairs, coordinating exam proctoring/administration with the Academic Resource Center.
- Support special academic programs and events.
Budget and Financial Management
- Manage departmental financial documentation, including reconciling faculty purchasing cards and processing vendor payment requests.
Communications and Planning
- Coordinate Science Center room scheduling: assign classrooms and labs for upcoming academic terms in collaboration with the Registrar’s Office; manage meeting and event room requests using Astra scheduling software; maintain the Science Center calendar of events and assist with organizing special programs such as C.S.I. sessions.
- Maintain and update the Science Center faculty directory, Directory Board, and annual emergency contact information for Biology and Biochemistry/Chemistry/Engineering Science labs.
Supervision:
Professional objectives are determined in collaboration with the supervisor, requiring the use of a wide range of procedures. The employee plans and arranges his/her own work and consults with the supervisor on unusual cases.
Minimum Qualifications:
Associate’s Degree required (or equivalent experience), Bachelor’s degree preferred; the ability to work well with diverse populations; working knowledge of word processing and spreadsheet software; excellent writing and verbal communication skills. Prefer prior experience in an academic setting, as well as experience supervising college students.
