Main Street Waterloo was formed in 1996, is a 501(c)(3) non-profit, volunteer driven organization committed to preserving and improving the vibrancy of our city’s central business district. The organization is managed by a volunteer Board of Directors consisting of property owners, business owners, residents, district employees, community members and public agency representatives.

Event & Marketing Coordinator Position Overview

The Event & Marketing Coordinator serves as the first point of contact for all who call and enter the office. This position manages the administrative duties of the office and engages, coordinates, and facilitates events hosted Main Street Waterloo in collaboration with the Promotions & Marketing Council, event subcommittees, and Executive Director. This team member will be the “go to” person who will coordinate everything from a big-picture viewpoint to creating an experience for sponsors and attendees.


    JOB RESPONSIBILITIES

  • Event Planning & Execution
    • Plan, organize, and oversee assigned events from start to finish including research, vendor recruitment, entertainment contracts, sponsorship fulfilment, volunteer coordination, and marketing alongside volunteer event planning committee
    • Manage all aspects of event execution, including logistics, success metrics, budgets, work plans, and timelines
    • Develop event materials and collaborate to ensure high-quality production and brand consistency
  • Marketing & Communications
    • Assist in developing and executing marketing strategies to promote events, programs, and initiatives
    • Create engaging content for digital, print, and social media platforms
    • Support outreach efforts to grow visibility, attendance, and community engagement
  • Program & Donor Management
    • Manage the Downtown Gift Card program including onboarding new businesses, updating the website, and processing sales
    • Utilize online donor management software to set up event sponsorship pages, record contributions, send thank you and IRS receipt letters, and maintain accurate contact records
  • Administrative & Office Support
    • Perform general office duties including, but not limited to: answering phones, managing incoming and outgoing mail, ordering supplies, produce and distribute correspondence, etc.
    • Attend assigned meetings, take accurate minutes, and distribute agendas, reminders, and minutes
  • Professional Conduct & Growth
    • Demonstrate professionalism, good judgement, and discretion in handling confidential information
    • Maintain and expand professional knowledge by attending workshops, reviewing professional publications, and building networks
    • Uphold the and actively represent the organization’s mission, vision, and values
  • Additional Duties
    • Support organizational initiatives and projects as assigned by leadership

  • Excellent written and verbal communication skills with strong attention to detail

     HELPFUL QUALIFICATIONS

  • Experience with Canva, WIX, and Google Suite
  • Proficiency with Microsoft Word and Excel, and comfort learning web-based platforms
  • Strong problems-solving skills and the ability to interpret a variety of instructions in written, verbal, or schedule form
  • Excellent time management and organizational abilities with a focus on accuracy and meeting deadlines
  • Flexible, adaptable, and responsive to changing priorities and needs

    PHYSICAL REQUIREMENTS AND WORK CONDITIONS 

  • Flexible schedule, including some evening and weekend hours
  • Work primarily performed indoors, with frequent outdoor responsibilities during events

Compensation and Benefits 

  • Full-Time Position
  • Frequent nights and weekends
  • $38,000-$43,000 per year salaried, exempt position
