Financial Manager
Salary/Wage: $40,000-$50,000
Job Summary: The Administrative Assistant is responsible for providing high quality administrative support to ensure efficient operation of the office, completing all tasks accurately and in a timely manner. Duties may include fielding telephone calls, receiving and directing visitors, word processing, bookkeeping, accounting, assisting with budget revisions, creating spreadsheets, and filing, QuickBooks Desktop. This position is also responsible for General HR duties. Extensive software skills are required, as well as Internet research capabilities
Reports To: Chief Executive Officer and Assistant Director
Hours/Availability: 40 hours per week
Location: Waterloo
Key Duties and Responsibilities:
- Greet clients and visitors in a professional and welcoming manner, and direct them to the appropriate staff
- Answers phone and in-person inquiries with regard to any financial questions or issues
- Performs bookkeeping and maintains accurate filing system, word processing, accounting, and payroll duties including staff payrolls, bank deposits, accounts payable, entering monthly reports from staff and maintaining staff PTO and other client payments
- Prepares payroll for staff, assisting with budget revisions, creating spreadsheets, and filing.
- Performs clerical and other related duties as required
- Maintains and installs accounting software and file backup
- Check reimbursement paperwork for accuracy. Submit and reconcile expense reports
- Maintain inventory list and order office supplies
- Maintain contact lists and referral information
- Serve as point of contact for contractors and vendors
- Produce and distribute correspondence memos, letters, faxes, and forms as directed by managers
- Makes deposits, records deposits in log, and other general clerical duties as assigned
- Assist director and assistant director with reviewing and revising written material Assist with new staff orientation process including the onboarding process Create and maintain staff personnel records
- Maintain client and staff confidentiality
- Complete the 30 hr. Victim Counselor Training from the Iowa Coalition Against Domestic Violence(ICADV) and/or Iowa Coalition Against Sexual Assault (IowaCASA) within one year of hiring
- Other duties as assigned and allowable by grant funds.
Qualifications:
- Minium associates degree in accounting and bookkeeping, bachelor’s degree preferred and salary based on experience
- Must be proficient at Microsoft Excel, have excellent Computer skills, analytical and mathematical skills
- QuickBooks Pro experience is recommended
- Detail oriented
- Knowledge of non-profit community-based programs and services an asset Job Skills and Abilities:
- Good time management skills and the ability to anticipate and manage a changing workflow
- Must be self-directed and have an ability to work independently
- Good oral and written communication skills
- Strong computer skills including internet use, windows XP, Excel and Word; Experience with QuickBooks and fund accounting helpful

- Demonstrated administrative and organizational skills
- Demonstrated ability to perform multi tasks in an environment where priorities can change rapidly
- Demonstrated effective communication and problem-solving skills
- Excellent time management and organizational skills including the ability multi-task, prioritize workload, work under pressure, and meet deadlines
- Maintain well-organized filing systems and work area
- Provide service to staff and clients in a respectful, sensitive, and confidential manner, funding agencies, employers, and the community in a professional manner and understandable communication with clients and in the production and distribution of memos, letters, faxes and forms.
